Job Description:
Harlem Pride is seeking an organized and motivated individual to join our team as a Booth Manager. The Booth Manager will play a critical role in ensuring the smooth coordination of vendor logistics and booth assignments for our annual Harlem Pride 2025 Celebration Day.
Key Responsibilities:
- Booth Layout and Coordination:
- Tweak and optimize the current booth layout to ensure an efficient and organized event flow.
- Assign vendors and organizations to their designated locations on the event map for Celebration Day.
- Handle vendor logistics, ensuring all participants have the necessary information and support.
- Event Planning and Meetings:
- Attend virtual and in-person meetings as needed to coordinate efforts leading up to Harlem Pride 2025 events.
- Be available for in-person meetings at least three times within the two weeks leading up to Celebration Day.
- Attend all Harlem Pride 2025 events and assist in managing day-of-event operations.
- Volunteer and Team Management:
- Take charge and lead a team of volunteers responsible for assisting vendors and organizations with their location assignments on Celebration Day.
- Ensure volunteers are well-organized and briefed on their duties to maintain a smooth and successful event experience.
- Celebration Day Management:
- On Celebration Day, be the primary point of contact for vendors and volunteers regarding booth locations and logistical support.
- Oversee the execution of the event layout, resolving any on-site issues that may arise to ensure a positive and seamless experience for all participants.
Required Qualifications:
- Strong organizational skills and attention to detail.
- Ability to manage and lead a group of volunteers effectively.
- Comfortable taking charge and making quick decisions in a fast-paced environment.
- Experience with event planning, logistics, or vendor management is a plus.
- Strong communication skills, with the ability to collaborate with diverse teams and vendors.
- A commitment to the mission and values of Harlem Pride and the LGBTQ+ community.
Key Event:
Harlem Pride 2025 Celebration Day is the most important day for this role, requiring full availability and hands-on management.

Job Description:
The Volunteer Manager & Volunteer Management Assistant will oversee the recruitment, organization, and management of volunteers to support the activities of Harlem Pride, with a particular focus on Harlem Pride 2025. This role involves leading outreach efforts to attract volunteers, conducting orientations, assigning tasks, and ensuring smooth operations during key events. This individual will work closely with the organization’s leadership to ensure all volunteer needs are met for events, particularly the Harlem Pride Celebration Day, where volunteer coordination is a critical function.
Key Responsibilities:
- Volunteer Recruitment & Outreach:
- Plan and execute outreach activities to recruit volunteers, using both virtual and in-person methods.
- Develop strategies to engage a diverse volunteer base from the LGBTQ community and allies.
- Volunteer Onboarding & Orientation:
- Conduct volunteer orientations to familiarize new volunteers with the organization’s mission, culture, and event procedures.
- Prepare training materials and ensure volunteers are equipped with the necessary information.
- Volunteer Coordination:
- Organize and assign volunteers into various jobs and shifts, ensuring coverage for all necessary tasks and activities.
- Maintain communication with volunteers, updating them on shifts, tasks, and expectations.
- Event Management:
- Attend all Harlem Pride 2025 events, serving as the main point of contact for volunteers.
- Check in volunteers, manage their work during events, and troubleshoot any issues that arise.
- Provide direction and support to volunteers to ensure a positive and productive experience.
- Meetings & Collaboration:
- Attend virtual and in-person meetings as needed, including at least three in-person meetings during the two weeks prior to Harlem Pride Celebration Day.
- Collaborate with other event organizers and staff to ensure that volunteer efforts align with overall event goals.
Required Qualifications:
- Strong leadership and organizational skills, with the ability to manage a team of volunteers.
- Experience in volunteer management, event planning, or nonprofit work is a plus.
- Excellent communication skills, with the ability to interact with a diverse range of volunteers and stakeholders.
- Must be available for in-person meetings at least three times within two weeks prior to Harlem Pride Celebration Day and able to attend all Harlem Pride 2025 events.
- Ability to stay calm under pressure and manage multiple tasks during high-energy events.
- Passion for LGBTQ issues and supporting the community.
